About the role
The Advisor, Regulatory Affairs, is an integral member of the Engineers Canada team, responsible for supporting the delivery of regulatory initiatives and programs that advance the organization’s mandate. This role plays a key part in overseeing and coordinating activities, facilitating interest holders’ engagement, and ensuring the effective implementation of policies and standards. The Advisor supports Regulatory Affairs teams in planning, tracking, and delivering projects at a level of quality that aligns with regulatory requirements and organizational objectives as well as facilitates engagement with teams in other parts of the Engineers Canada organization. As a member of the Regulatory Affairs team, the Advisor also contributes to process improvements, data management, and supports Engineers Canada’s commitment to regulatory excellence.
Key Responsibilities
- Collaborate and liaise with internal Project Management in developing program plans, timelines, and schedules. Coordinate with various teams to ensure that all activities are aligned with the program's objectives and deadlines.
- Ensure compliance with organizational policies and procedures and that all activities adhere to established standards.
- Draft and distribute internal and external communications related to the program. Ensure that all interest holders are kept informed of program developments, updates, and any changes to plans or schedules.
- Foster a collaborative and supportive work environment. Engage with external partners and interest holders to build and maintain positive relationships that support the program's success.
- Coordinate project timelines and deliverables across cross-functional teams, ensuring timely communication and status updates and risk.
- Plan and coordinate meetings, events, and other program-related activities. Prepare agendas, take minutes, and ensure that all logistical details are managed effectively.
- Oversee the use of technology tools and platforms to support program activities (video conferencing, presentations etc.).
- Handle administrative tasks such as preparing documents, managing files, and ordering supplies.
- Prepare reports and proposals and maintain accurate and up-to-date records.
- Support growth and program development.
- Collaborate and liaise with internal Project Management resources to ensure that program activities are integrated with broader organizational projects. Provide support and coordination to align program goals with overall project objectives.
Education and Experience Requirements
Education
- Graduate from a recognized University, or an equivalent combination of education and experience.
Experience
- A minimum of three (3) years of experience in program coordination, stakeholder communication, and administrative support, with familiarity in regulatory or compliance environments being an asset.
- Experience in offering guidance and strategic recommendations to management.
- Experience in applying or interpreting legislation, regulations, governance frameworks, or standard operating procedures.
- Experience in supporting program and/or business delivery through the development or implementation of strategies, policies, procedures, or guidelines.
- Experience in networking and collaborating with diverse internal or external partners and interest holders.
- Demonstrated experience developing and delivering clear, concise, and effective communications for various interest holders, including status updates, project briefs, and presentations.
Key Competencies
- Strong problem-solving skills with the ability to assess complex situations, identify key issues, and develop effective solutions. This includes utilizing critical thinking to evaluate different perspectives, gathering relevant data, and making informed decisions to address challenges efficiently.
- Demonstrated ability to effectively manage multiple priorities. This includes organizing tasks, setting clear objectives, and adjusting timelines as needed to ensure that high-priority activities are completed on time.
Desirable
- Proficiency in the use of Microsoft Office 365 Business, SharePoint, and Microsoft Teams.
- Experience working in a professional association or not-for-profit organization.
Language
- Proficiency in English is required. Proficiency in French is an asset.
About our working conditions
This is a full-time two-year term position that is based out of our Ottawa head office.
There is a requirement to work a minimum of (3) three days/week in the office for the first (3) three months of employment and to occasionally work weekends and evenings. This position may require occasional travel within Canada.
