About the role 

The Coordinator, Accreditation Visits, oversees the planning, execution, and follow-up activities of accreditation and substantial equivalency visits, while managing communications, information, and timelines associated with accreditation and substantial equivalency cycles. In addition, the coordinator represents Engineers Canada in their interactions with Higher Education Institution (HEI) faculty and staff, regulators, and volunteers, ensures the accuracy of data, communications, training materials, and other relevant documents, and delivers high-quality customer service.

Key Responsibilities

  • Represents Engineers Canada in interactions with HEI faculty and staff, regulators, volunteers, and other interest holders in the accreditation system to ensure the success of the daily operations of the accreditation system.
  • Manages accurate information and deadlines for accreditation and substantial equivalency cycles.
  • Oversees the planning, execution, and follow-up activities of accreditation and substantial equivalency visits, while ensuring compliance with established policies and procedures.
  • Coordinates the timely and accurate drafting of visiting team reports.
  • Develops and maintains communication materials for volunteers and programs seeking accreditation.
  • Identifies and initiates improvements to processes and documentation for accreditation and substantial equivalency.
  • Manages interest holders’ interaction(s) with the web-based accreditation data management system.
  • Responds to inquiries from the public and non-accredited program representatives regarding program development, accreditation, and substantial equivalency.
  • Actively develops positive relationships with volunteers and HEIs.
  • Supports the development and publication of criteria, communiqués, documents, and reports related to program development, accreditation, and substantial equivalency.
  • Collaborates with others, to resolve issues, challenges, and respond to inquiries from accreditation interest holders.
  • Other duties as assigned.

Education and Experience Requirements

Education

  • Graduate from a recognized University, or an equivalent combination of education and experience.

Experience

  • Minimum of (3) three years of experience providing administrative support with substantial autonomy.
  • Demonstrated ability to handle matters requiring high levels of tact, diplomacy, sensitivity, and confidentiality, with an understanding that errors in judgement or attention could lead to negative organizational impacts.
  • Excellent customer service skills.
  • Experience working with and managing volunteers.

Key Competencies

  • Proficient in the use of Project Management principles, practices, and tools with a track record of delivering projects on time and to a high quality.
  • Experience in managing competing priorities, projects, deadlines, and expectations of interest holders.
  • Proficient in reviewing/proofreading documentation, with good attention to detail.
  • Experience working with the wide diversity of cultures within staff, clients, students, and the community in general.
  • Strong organizational, interpersonal, problem-solving and time management skills.

Desirable

  • Knowledge of accreditation and project management principles, methods, and tools.
  • Proficiency in the use of Microsoft Office 365 Business, SharePoint, and Microsoft Teams.

Language

  • •    Proficiency in English and French is required.

About our working conditions

This is a full-time 14-month term position that is based out of our Ottawa head office. 

There is a requirement to work a minimum of (3) three days/week in the office for the first (3) three months of employment. Hybrid work arrangements may be considered following the onboarding period, subject to management approval. 

There is a requirement to occasionally work weekends and evenings. This position may require occasional travel within Canada.
